Time and attendence if managed properly, accuratly handles complex pay and work rules from large groups down to a single employee in single or multiple sites. You need to make sure that you chose an appropriate solution for this requirement. This ensures each individual is treated fairly and within their agreed contract of employment, such as the way breaks are allowed and paid and time rounding rules.

In record systems, attendance should be set to the expected start and finish times or daily contract hours with actual attendance exceptions managed manually.

The system used should Support all types of registration including swipe and proximity cards, biometric devices, kiosks, IVR and handheld devices, or simply through a web browser on any device such as a PC, till or PDA.

The core of any Time & Attendance system is the ability to support extremely flexible shift structures and employee shift plans. It should handle all elements of paybands, overtime arrangements, grace periods, breaks, shift premiums, flexitime, contract hours and absence approvals - but in a way which allows minimum time involvement by the management and staff running the system.

Management Reporting and analysis on hours paid, hours worked and attended, overtime, absence, sickness and lateness are a particularly effective management tool to improve labour awareness and utilisation. Make sure your software has all this.

At the end of period, details of employee hours at each payband plus shift premiums and allowances need to be transferred to the organisation’s payroll system for automatic payroll production. This ata transfer API should always be a part of the system you chose.
